April 1, 2026: Executive Director Position Announcement & Job Description
Position Title: Executive Director, Virginia Children’s Chorus (VCC)
Position Type: Part-time, salaried. Primarily week days, but evening and weekend hours are required. Approximately 35 hours per week, 48 weeks per year.
Reports to: Board of Directors. Works closely with Artistic Director & Chorus Manager
The Business Manager reports to the Executive Director.
Salary Range: $35,000 to $50,000 annual based on qualifications & experience
Location: VCC office at Talbot Park Baptist Church, 6919 Granby St. Norfolk with an
additional rehearsal location at Providence Presbyterian Church, Virginia Beach Concert and event locations around the Hampton Roads area.
Start Date: July 1, 2026; this is the beginning of the Chorus fiscal year and will follow the retirement of our current Executive Director on June 30, 2026.
About the Chorus
Founded in 1992, VCC is a vital part of the Hampton Roads music community led by Artistic Director Corbin T. Pinto. VCC is a 501(c) (3) non-profit arts education organization. Our mission is to enrich the lives of participating children through the study of the world’s great choral music and to share their love of music through community performances. We provide choral education to our auditioned students in grades K through 12, who come from all around the Hampton Roads region of southeastern Virginia. Weekly instruction and several performances occur during the school year. The Chorus presents two all-choir concerts each season and regularly collaborates with other children’s performing arts groups, professional, community and academic ensembles, such as the Virginia Symphony Orchestra, the Virginia Arts Festival, Ballet Virginia, the I. Sherman Greene Chorale and area K-12 schools and universities.
Position
The Executive Director’s primary role is to oversee all non-artistic operations of the Chorus. Areas of responsibility include financial management and budgeting, fundraising & donor relations, marketing and public relations, grant writing, long-range planning and general chorus administration.
Qualifications
· Bachelor degree in Business Administration, Accounting or other related business degree.
· Solid accounting knowledge with an emphasis on non-profit, cash-basis accounting.
· Strong experience in business management and supervision of employees and volunteers.
· Very strong verbal and written communication skills. Position requires one-on-one communication, communication with groups within VCC and public presentations. Clear concise writing skills will be particularly useful for grant writing.
· Excellent multi-tasking organizational skills. Ability to delegate and utilize volunteers.
· Experience with Microsoft Office product suite and QuickBooks Accounting System required.
· Marketing experience in the cultural arts and/or non-profit sector is preferred but not required.
Essential Duties & Responsibilities
Financial Management and Budgeting
· Annual budget – develop early estimated budgets for grant applications and develop budget proposals for Board approval.
· Complete monthly bank statement reconciliations, prepare monthly financial reporting for Board for year-to-date performance against budget.
· Monitor all accounts payable and accounts receivable functions as performed by the Business Manager.
· File annual non-profit tax return (Form 990 or 990-ez) with the IRS and file related annual report and renewal of permission to solicit contributions with the Commonwealth of Virginia.
Board of Directors
· Prepare and maintain Board of Directors roster and schedule of meetings. Send meeting reminders.
· Oversee preparation of meeting minutes.
· Assist the Board of Directors to find new members
Fundraising
· Assist board fundraising committee with all fundraising projects, including two annual campaign letters, Give Local 757 online appeal, and fundraising events.
· Enter donor contacts and donations into the donor database and send timely donation acknowledgement letters. Maintain donor database files.
Marketing and Public Relations
· Create & implement marketing plan for auditions, concerts, fundraising events and general promotion of the Chorus. Include use of volunteers in marketing.
· Advertise concerts and auditions via Constant Contact emails, Facebook & Instagram posts, press releases, etc. Arrange media interviews when possible.
· Represent the Chorus at public functions, especially where there is the opportunity to recruit new students or community supporters.
· Prepare or supervise preparation of concert programs, including two extensive fall and spring concert programs which include donor and grant acknowledgements.
Grant Writing
· Maintain current list of grant sources and due dates. Search for new grant sources
· Write and submit grants to corporations, foundations and government agencies to obtain both project and general operating support for the chorus. There are currently 12 annual applications to funders.
· Attend grant information sessions & reviews. Monitor use of funds and complete reporting.
Long Range Planning
· Together with the Artistic Director and Board, develop and update the long range plan.
· Monitor annual performance against the long range plan and update summary each year.
General Chorus Administration
· With the Artistic Director, book performances. Locate rehearsal and concert spaces. Prepare and finalize contracts including fees and other financial arrangements.
· Register chorus members accepted at auditions, preferably immediately following the audition. Supervise Business Manager for creation and maintenance of student records.
· Basic knowledge of the office computer network, Xerox copier and telephone system in order to troubleshoot problems. Communicate with various sources for technical assistance.
